Responsibilities:

This position will work with the Global Events Manager to oversee internal and external events. You will assist in event planning from conception to implementation, through post event execution. You will have exposure to event organizers and will work with key stakeholders.  Duties include administrative tasks, project management, working with vendors, managing registration, assisting with set-up and breakdown, branding event space, ordering food and beverages, interacting with attendees, running errands for supplies and working with staff to ensure the completion of a successful event.
 

EVENTS SUPPORT and COORDINATION

Internal and external event support as follows:

  • Responsible for the logistical components of digital and in-person events, including scheduling, coordination, , set-up, and tear-down.
  • Support customer and industry working groups with planning, logistics, registration, food and beverage, attendee satisfaction and on-site support.  
  • Submit facilities requests as necessary, prepare and inspect conference room setups.
  • Assist in the setup, testing, operation, and teardown of audio-visual and video conferencing equipment.
  • Serve as a point of contact for event planning and execution, facilitating communication between departments, support staff, and vendors.
  • Deliver exceptional customer service and ensure high-quality experiences for all clients.
  • Coordinate and distribute event-related customer communications with marcom channels, including sales team emails, pre-event emails, at-event invitations (e.g. tech talks), post-event communications.
  • Assists with post-event surveys and report creation.
  • Share leads generated from events with customer relationship manager for communications objectives.
  • Maintain inventory of branded promotional items, selection, order and fulfill requests.
  • Supports employee engagement activities and encourages participation amongst colleagues.
  • Shipping and receiving of signage, supplies and support materials.   

MEMBERSHIP and ASSOCIATIONS

  • Maintains knowledge of industry association memberships and provides updates to channel manager regarding revisions for collateral, presentations, and web site updates. 
  • Shares iconectiv news, collateral, and other marketing materials with memberships on a rolling basis.
  • Tracks metrics for iconectiv marketing via appropriate industry organizations and share with team.

PROJECT MANAGEMENT

  • Responsible for overall knowledge and management of Asana project management tool.
  • Maintain Asana-based Marcom Calendar used to define channel activity.  

Required Skills:

  • Bachelor’s degree in marketing or communications
  • 0 – 2 years of Customer Service experience and/or Event Planning
  • Understanding of Microsoft office (Word, Excel, PowerPoint)
  • Excellent organizational skills and ability to manage multiple tasks concurrently
  • Self-motivated, dependable and displaying strong follow-through with details and tasks
  • People skills including social graces, communication, language and friendliness
  • Flexible schedule as activities may fall outside normal business hours
  • Ability to travel 15% to 25%

Year round internship with the ability to work 20 hour work weeks during semester and 40 hour works week during the summer.

Responsibilities:

Intern needed to support the company’s social media accounts and support the company’s web analytics and web content.  The intern will  work with Linkedin and X as well as Drupal.

  • Update company websites
  • Assist in website test plans

Requirements:

  • Enrolled at University with GPA of 3.0 or higher.
  • Well organized with attention to detail. 
  • Excellent verbal, written, presentation and interpersonal skills.
  • US Citizenship required
